The National music center digitalizes its appointment system with Agendize

As soon as it was created in 2020, the National music center (CNM) was faced with a strong demand from music professionals. To meet this demand, the CNM needed to find a modern solution to automate the management of appointment requests? In choosing Agendize, the CNM opted for a secure French solution, perfectly integrated with its own tools, which automated appointment scheduling, centralized follow-up information and streamlined coordination between advisors. The result is a simplified, more efficient service tailored to the needs of the establishment and its users.

The CNM, a key player in the development of music and variety

The National music center (CNM) is a public institution serving the music and variety industry. Among its many missions, the CNM offers an advice and guidance service for music-related project leaders. Through this service, CNM advisors support artists and the professionals around them in their professional structuring and development strategy.

The challenge with manual appointment scheduling quickly outdated

Faced with high demand and a growing volume of requests, manual appointment management by telephone or e-mail was not an option for the CNM teams. An initial online booking solution was put in place, but this proved to be incomplete.


It couldn't centralize information about the appointment, nor add documents or notes, essential elements for a professional and individualized follow-up. The advisors also needed a solution capable of managing “off-site” appointments in third-party venues such as theaters or concert halls.

A comprehensive, connected and scalable platform

After analyzing various solutions available on the market, the CNM chose Agendize. Several criteria were decisive in this choice, such as respect for eco-responsibility values, data hosting in France, and Agendize's ability to interface easily with existing tools.

Thanks to Agendize, CNM advisors can now :

• Centralize all appointment information in a customer file ;
• Add collaborative notes for follow-up between appointments ;
• Integrate videoconferencing via Teams to carry out remote appointments ;
• Define different user typologies via tags according to internally-defined criteria.

All without ever leaving their usual work environment.

Concrete results from the very first months

Deployed in January 2022 after an implementation phase starting in October 2021, the Agendize solution has gradually been adopted by other departments within the CNM.

Today, appointments can only be accessed from the secure professional space on the CNM website, enabling pre-qualification in advance. Six consulting themes are available for booking, either face-to-face or remotely.

One of the advisors conducts all his appointments remotely, with a typical 30-minute slot and a 15-minute break between each appointment to maintain flexibility. For urgent requests, additional slots can be added in a few clicks from the back-office.

What's next ? The CNM IT department plans to integrate an API in the near future to automate the export and compilation of monthly activity reports.
